How you will impact Ingevity

  • Support the Vice President of Information Technology and Chief Information Officer, and the respective organizational unit.
  • Arrange meetings with multiple attendees and be able to manage multiple calendars.
  • Manage the Vice President’s meeting readiness for both internal and external meetings; providing relevant notes, agendas and briefings.
  • Coordinate complex domestic and international travel, including the processing of Visas and Passports.
  • Responsible for arranging and coordinating all logistics, catering and refreshments for meetings / event planning.
  • Organize and maintain filing system to ensure efficient retrieval and response.
  • Process and manage timely invoice payments for the IT function and work with accounts payable on outstanding issues. Manage the unit’s purchasing card and allocate charges as required. 
  • Provide purchasing support for IT - creating purchase requisitions, monitoring purchase orders, working with master data team for new vendor setup, working with finance for general ledger/cost center setup, PC equipment ordering/tracking.
  • Provide administrative support to IT function as needed (e.g. correspondence generation, record keeping, file maintenance, billing/account reconciliations, mobile phone invoice management).
  • Coordinate/manage cell and conferencing accounts for terminated employees.
  • Plan and schedule orientation and onboarding activities for new IT hires.
  • Work with other administrative staff outside of department to accomplish organizational goals.
  • Perform other administrative duties for department as assigned.
  • Contact users of IT services to verify service status and usage and to coordinate any changes as needed

What you need to succeed

  • Minimum of 4 years of experience providing executive-level support.
  • Above average interpersonal skills to include: working with executives, handling confidential information / situations with tact and diplomacy.
  • Strong attention to detail, excellent organizational skills.
  • Demonstrated ability to adhere to company policies / standards regarding the handling of confidential and sensitive information.
  • Excellent verbal and written communication skills a MUST.
  • Self-starter with high energy levels.
  • Observant and able to anticipate needs and requirements.
  • Able to prioritize and execute tasks in a high-pressure, fast paced environment.
  • Microsoft Office suite skills including Word, Excel, PowerPoint and Visio.
  • Experience managing multiple electronic calendars.
  • Knowledge/experience supporting IT functions a plus.
  • LMS experience a plus.
  • High School Diploma or GED required. Associates degree is preferred.
